The Opportunity

Prime Education, a property of Everyday Health Group, is seeking a Technical Event Specialist to join our dynamic Product Development team. This role is crucial in ensuring the successful delivery of both virtual and on-site educational content. As part of our mission to deliver top-notch CME education and training to healthcare professionals, this position will focus on supporting the virtual and live event experience, as well as providing on-site AV support for in-person events.

Key Responsibilities

  • Provide first-level support for our virtual Live Event business, ensuring high-quality experiences for event attendees and sponsors.
  • Conduct Technical dry runs, prepare, and test virtual events using platforms like Zoom, BigMarker and others.
  • Provide technical assistance during live virtual events, including troubleshooting any issues that arise.
  • Monitor and manage multiple aspects of virtual event platforms (e.g., breakout rooms, live polls, Q&A sessions, etc.) to ensure smooth engagement during events.
  • Coordinate with presenters and moderators pre-event to ensure their comfort with platform tools and features, addressing any last-minute concerns or technical issues.
  • Offer internal support for staff, becoming an expert in our internal CMS to ensure smooth operations and troubleshooting.
  • Manage setup, testing, and operation of live streaming equipment, including cameras, microphones, lighting, and sound systems.
  • Coordinate with venue AV teams to ensure smooth integration between in-house systems and company equipment for hybrid or fully live events.
  • Troubleshoot technical issues in real-time during on-site events, including diagnosing hardware malfunctions and implementing quick solutions.
  • Oversee the recording and archiving of live event content for future use, ensuring high-quality captures and secure storage.
  • Collaborate with on-site teams to manage event transitions, such as switching between speakers, adjusting for different media formats, or adapting to last-minute schedule changes.
  • Travel a minimum of 20% to 30% of the time, primarily in Q4, with some travel throughout the year.

Job Qualifications

  • Experience with Virtual Event Platforms: Proven experience with virtual event software (Zoom, BigMarker, GoToMeeting, Microsoft Teams, etc.) including backend setup, event management, and troubleshooting.
  • Technical Proficiency with AV Equipment: Hands-on experience with audio/visual hardware such as video switchers, mixers, projectors, microphones, and live streaming setups.
  • Understanding of Networking Basics: Familiarity with basic network troubleshooting for live events (e.g., bandwidth issues, IP configuration, firewall settings).
  • Strong Communication Skills: Ability to communicate effectively with technical and non-technical stakeholders, including event speakers, attendees, and internal teams.
  • Ability to Handle High-Pressure Situations: Demonstrated capacity to remain calm and problem-solve quickly in live event environments.

 Prior Experience:

  • 3+ years of experience in Event Specialist or a similar technical role, with direct experience in virtual and/or live event management.
  • Experience in AV Production: Experience in managing or supporting audio/visual production for live events, webinars, or hybrid events.
  • Experience in IT, Project Management, or QA: A background in IT support, project management, or quality assurance is a strong plus, especially in environments requiring technical troubleshooting and customer support.

The base salary compensation for this role is $60,000 to $81,000. Individual pay within the compensation range for this business unit specific role is determined based on a variety of factors including experience, scope of the role, capabilities to perform the role, education and training, as well as business and company performance.
